Office Manager

Meerkerk is looking to hire a competent, reliable, energetic, and flexible Office Manager. As an Office Manager, you ensure that both our physical office and virtual workspace are maintained and functional so that all team members can perform their tasks properly. This role encompasses some essential managerial skills (planning, organizing, leading, and controlling), administrative tasks, HR-related duties, and more. We are looking for a dedicated individual who:

  • Enjoys teamwork
  • Is based in or near Belgrade, Serbia, and can work from our office in Belgrade
  • Possesses excellent English and Serbian written and verbal communication skills
  • Possesses excellent active listening, negotiation, presentation, and people skills
  • Is detail-oriented, especially when handling paperwork, bills, etc. 
  • Can take the initiative and follow and memorize instructions
  • Possesses good organizational skills and can successfully track and document processes and progress in various areas
  • Can be flexible in terms of working hours. There are fewer fixed hours for a manager, and some tasks might have to be taken care of after regular working hours (e.g., in an empty office) or on Saturday
  • Nurtures a positive attitude towards the work, colleagues, clients and spreads positive vibes across the team both on and offline
  • Can delegate tasks, organize and lead others
  • Is proficient in Microsoft Office suite


  • Nurturing a positive work environment at Meerkerk (on and offline)

  • Managing/tracking the workspaces, including the hot desks
  • Software installation and maintenance 
  • Managing office and inventory upkeep and arranging, supervising, and checking on various maintenance services
  • Ordering office stationery, food and drinks, and items/services for events, including branded goods
  • Receiving visitors and deliveries at the office
  • Welcoming and checking in on new team members on and offline
  • Budgeting and filing invoices/bills and other administrative duties relating to the office
  • Filing and retrieving corporate documents, records, and reports 
  • Supervising and training clerical and assisting staff
  • Reviewing operating practices and procedures to determine whether improvements can be made in workflow, reporting procedures, or expenditures
  • Making travel and housing arrangements for executives and other team members
  • Arranging meetings
  • Coordinating inbound and outbound office mail
  • Conducting research, compiling data, and preparing papers for consideration and presentation by executives
  • Meeting with individuals, special interest groups, and other team members on behalf of executives
  • Preparing invoices, reports, memos, letters, financial statements, and other documents using word processing, spreadsheets, databases, and/or presentation software
  • Performing various HR duties (scheduling meetings, interviews, assisting HR with documentation, etc.)
  • Creating, updating, and managing the office library
  • Helping organize team buildings and other company events, celebrations, gatherings, and traveling
  • Managing and scheduling other team social activities on and offline
  • Creating and posting messages across various channels to instruct and provide guidance (e.g., office-related channels, social channels, etc.)
  • Working on ad-hoc tasks
